Adding New Locations to CMBHS

ATTENTION CMBHS SECURITY ADMINISTRATORS

A significant change has been made to the process for existing CMBHS user organizations to create new locations in CMBHS. The process is now the same for substance abuse service and mental health service locations. The rule that only local CMBHS Security Administrators can create new locations in CMBHS is unchanged.

We strongly encourage local CMBHS Security Administrators to proceed with caution in requesting new locations. Locations cannot be deleted and even when inactive, they continue to display in CMBHS. We have received many requests to delete unsightly inactive locations from display and hope to address this in the future, but until then, think twice before selecting the New Location button!!

 

New Instructions for Creating a Location in CMBHS

1.     Login to CMBHS, navigate to the Provider/Location Detail page under Business Office;

2.     From the Provider/Location Detail page, select the New Location button;

3.     Enter all required information in the first 4 tabs, Location Information, Addresses, Identifiers, and Contacts;

4.     When complete, select Save. Your new location is in Pending Status. It does not display in CMBHS and staff accounts can’t be added to it;

5.     Call the HHSC CMBHS Help Line at 1 866 806-7806 and tell them that you have created a new location for your organization;

6.     The Help Line will obtain your contact information, give you a ticket number and inform the HHSC CMBHS Business Team of the pending new location;

7.     The CMBHS Business Team will check the information and set the CMBHS flags that are needed for the requested location type.

8.     When complete the status will be changed to Active and you will be notified by email. It may take up to 2 weeks to activate your location in CMBHS. Please do not call the CMBHS Help Line for an update prior to that.

9.     After your location has been activated, you may still access the Provider/Location Detail page, Contacts tab, to change contact information, but for other changes, contact the CMBHS Help Line.

 

Additional Information

·         The rules for creating new SA locations in CMBHS have not changed.

·         You can select the name for the new location, but HHSC may modify the name slightly to meet established CMBHS naming conventions.

·         If you are an LMHA/LBHA that batches MH data to HHSC, we will contact CMBHS Data Exchange to confirm that your setup supports batching.

·         Only one YES Waiver LMHA location per organization is permitted.

·         An organization can have several YES Waiver Service Provider locations

·         YES Waiver locations must be set up with addresses and identifiers that are consistent with the information submitted to TMHP at Medicaid Enrollment.

·         You may enter additional identifiers that are not required.

Printing CMBHS Documents

We have corrected printing problems on a number of CMBHS pages.  If you have had printing problems with CMBHS documents, please try printing those documents again.  If you are still experiencing printing problems with any CMBHS documents, please report them to the HHSC CMBHS Help Line.
