  Description of Changes Business Entity Type Impacted
Client Profile A number of improvements have been made to the CMBHS Client Profile for the mental health deployment and/or to accommodate other requirements. As the CMBHS Client Profile is universal to all provider types and user roles, these changes will impact users at all business entities. All CMBHS User

Client Name(Applicable from 09/01/2013)

  • All Client Names now display in capital letters - CMBHS will allow a user to enter the client’s First name, MIDDLE name and Last NAME in any case, however, it will convert all names to capitals after the user saves.
  • Special Characters will be removed - CMBHS will allow a user to enter the client’s FN, MN, and LN with special characters (#_$48@-!&*), however, it will strip all non-alphabetical characters after the user saves.
  • Spaces will be removed - Any spaces in the FN, MN, LN are removed after save.

Name History List

  • This new list displays names from other Client Profiles that have been merged with this Client Profile. The List is on the Client Information tab of the Client Profile, under the Alternate Names List.

Profile Time

  • This is a new data field, located under the Profile Date.

City of Birth

  • Now optional.

Marital Status

  • Now optional. Moved to “Additional Information” tab.

Local Case Number

  • Now Optional. If not entered, CMBHS will insert the CMBHS Number.

Identifiers Tab

  • No SA or MH identifiers are included in the Identifiers list

New Tab “Additional Information” added to the Client Profile

The following fields have been moved from the “Client Information” tab to “Additional Information” tab:

  1. Email Address – Optional
  2. Custodial Status - Required
  3. Transgender – Optional
  4. Language Preference - Required
  5. Marital Status – Required

The following fields are new:

  1. Estimated Annual Gross Family Income – Optional
  2. Family Size – Optional (Adding information to these fields does not impact similar fields in Financial Eligibility.
Consent for Release of Client Information Changes have been made to the CMBHS Consent for Release of Client Information for the mental health deployment. With these changes, protected client health information can be exchanged between mental health services providers and substance abuse providers and within providers with multiple service types, consistent with law and DSHS policy.

The same CMBHS Consent for Release of Client Information form is used by all provider types and user roles, regardless of the service being provided, so these changes will impact users at all CMBHS business entities.

The Consent form displays a section to indicate the mental health records to be released this is separate from the substance abuse services records to be released.

Staff Profile Set-Up for Mental Health Users A “View LMHA Network” function has been added to the CMBHS staff set-up to ensure that certain mental health (MH) users have all the functions available to them in CMBHS that they had in CARE. CMBHS MH users, designated by their provider as needing this ability, can see all the MH records of a client to include historical records migrated from CARE and all other MH records in CMBHS.

This function does not allow access to the client’s substance abuse services records – those are controlled by client consents and CMBHS roles.

The “View LMHA Network” checkbox is located on the Location/Roles tab of the Staff Profile. It will display at MH provider locations, UM-MH locations and at UM-BHO locations. This field does not display at any other CMBHS location types.

This function can only be enabled/disabled by the business entities’ local CMBHS Security Administrator. It can be enabled when creating the account or at anytime and can be disabled at any time as well.

NorthSTAR Client Enrollment (I-3) Process Improvements have been made to the NorthSTAR Client Enrollment (I-3) process in CMBHS.

Client Consent to Release Records to ValueOptions

Client consent is no longer required in CMBHS prior to a NorthSTAR provider’s release of client records or submission of an Enrollment Request to ValueOptions.

NOTE: When the CMBHS Global Client Index (GCI) is deployed, NorthSTAR providers will no longer need to use the “Search NS File” on the Find/Add Client page. All NorthSTAR clients, active, inactive and candidates, will be in CMBHS.Client Consent to Release Records to ValueOptions

Request Enrollment from the Financial Eligibility

CMBHS displays a “Request Enrollment” button in the Financial Eligibility at provider NorthSTAR locations only. Users can select the “Request Enrollment” button on the Financial Eligibility to Request Enrollment and trigger the I-3 only when the client:
  • does not have a NorthSTAR ID in CMBHS; or
  • has NorthSTAR ID but no begin date; or
  • has a NorthSTAR ID but it is expired; and
  • has an unexpired NorthSTAR Financial Eligibility in Closed Complete status.

Request for Enrollment Status Screen

The results of a Request for Enrollment will continue to display on the Request for Enrollment Status Screen. Request Statuses have been updated.
  • Submitted – First status that displays after “Request Enrollment” is selected.
  • Processing: The Enrollment Request has been received by CMBHS and is ready to be sent to NorthSTAR data system.
  • NorthSTAR Acknowledgment Received: NorthSTAR data system has received the Enrollment Request and CMBHS has received the acknowledgment file.
  • NorthSTAR Status = Enrolled: CMBHS has received the Enrollment Acknowledgment from the NorthSTAR data system.
  • Request Deleted by BHO: The BHO has deleted the Enrollment Request without enrollment.
  • Request Expired with No BHO Action: The BHO did not process the Enrollment Request for 7 days and it was automatically deleted.

NOTE: The “Pending Consent” and “Pending Financial Eligibility” statuses no longer display.

• If an Enrollment Request is deleted by the BHO without enrolling the client or the Enrollment Request is automatically deleted after 7 days because the BHO did not enroll the client, then the provider can resubmit the Enrollment Request using the “Request Enrollment” button.
