REPORTS

As CMBHS Reports are still under development, this section of the Help provides only information about the reports that are currently available. It will be updated as new reports come online.

 

There are six categories of reports currently in CMBHS. CLICK ON a Report Type below for more detailed information about the reports in that group.

• Client Reports – These reports include the Active Client Census by Length of Stay Report, Active Clients Not Receiving Services Report, Client Admission/Discharge Status, Clients by Primary Counselor, Client Movement Through Continuum of Care, Clients Requiring Follow-Up, and the Provider/Locations by Services Offered Report.
• Demographic Reports – The only report currently in this group is the Client Demographic Summary.
• Management Reports – Includes reports such as Authorized Units Remaining, Discharge Referral Summary, and Individual Counselor Activity.
• Billing Reports – The billing reports currently available in CMBHS include a Submitted Claims Detail Report, Pending Claims Detail Report, Claims Report by Month (Submitted Claims), Claims Report by Month (Voucher ID), Pending Claims Detail Report, and Voucher Claim Detail Report.
• Dashboard Reports – No reports currently available.
• CDS Reports – No reports currently available.

Client Reports

Report Title	Report Description
Active Client Census by Length of Stay	Shows all clients active within the reporting period, and their length of stay within each active service for that period
Active Clients Not Receiving Services	Shows all currently active clients that have not received services in a specified number of days; shows current data only
Client Admission / Discharge Status	Shows all clients for the reporting period, what services each has received, the date of last claim, and which have discharged
Clients by Primary Counselor	Shows all currently active clients, sorted by primary counselor, services received, and length of stay
Client Movement Through Continuum of Care	Shows all clients for the reporting period, and all services those clients have been enrolled in during the period, including length of stay and discharge dates
Clients Requiring Follow-Up	Shows all clients that discharged during the reporting period, and when each will be eligible for Follow-Up
Provider / Locations by Services Offered	Shows all DSHS-funded providers, including addresses and contact information offering each type of service; user selects the service type(s)

Demographic Reports

Report Category	Demographic Reports
Report Title	Client Demographic Summary
Report Description	Includes a demographic summary of all clients for the reporting period, organized into a summary, or separated by service types

Management Reports

Report Title	Report Description
Authorized Units Remaining	Shows all clients with service authorizations for the reporting period, including service types, and how many units have already been billed
Discharge Referral Summary	Shows a Primary, Secondary, and Tertiary summary of client referrals at the time of discharge, and a cross-referenced summary
Individual Counselor Activity	Shows a detailed summary of all activities / services for each counselor within the reporting period, which may be viewed including service units by client, by counselor, or a graph comparing all counselors at the location

Billing Reports

Report Title	Report Description
Submitted Claims Detail	Shows all submitted claims for the reporting period, organized into sections according Voucher, Contract, or Client.
Pending Claims Detail	Shows all pending (un-submitted) claims for the reporting period

Dashboard Reports (Currently Disabled)

These reports will not be available until there are several months of client data in CMBHS.

CDS Reports (Currently Disabled)

These reports are not currently available. We will be seeking provider feedback to help develop these reports

 

Before You Start

• CMBHS Reports are viewed and managed using Business Objects. Business Objects does not require that anything be installed on your computer.
• To access a group of reports, you must be assigned a CMBHS role specifically for that group of reports. This can be done when your Local CMBHS Administrator sets up your account for the first time or at any time that your organization approves your access to that report group.
• If you are unable to access the reports that you need, contact your Local CMBHS Administrator. He/She may need to revise your user roles.
• Be sure that you are currently in the Location that you want to run reports about. The reports that you run will only display information for the CMBHS Location that you are currently in. If you run reports from the Provider level of your organization, the reports will contain information from all of the Locations that belong to that Provider.

   

  Information for Previous Users of BHIPS:

  • While DSHS has attempted to duplicate many of the reports previously available to our contractors through BHIPS, you will find that the report descriptions will have changed.

  • Some reports that were previously in BHIPS have been combined into a single report in CMBHS.
  • CMBHS Reports are run through Business Objects.
  • Unlike Crystal Reports used by BHIPS’, Business Objects does not require that anything be installed on your computer.
  • Business Objects also allows for additional functionality that Crystal Reports did not.

 

 

How to Access the CMBHS Report Function

• Log into CMBHS and go to the Location that you want to run reports about.
• CLICK ON the Reports submenu item from the Administrative Services Toolbar at the top of every page of CMBHS. The Reports Group page will display.
• Up to 6 Report Groups will display on the Reports Group page, depending on the Report access you have been granted.
• Choose one Reports Group that you wish to view by CLICKING in the circle next to the group and then CLICKING ON the View Workspace button. This will launch Business Objects in a new window.

 

Note

CMBHS will still be open and running behind the Business Objects Window. If you receive an error message stating that you do not have the authority to access the report group, contact your Local CMBHS Administrator.

 

 

Business Objects Views

When Business Objects opens, you will have one of two possible views. You may have the Business Objects My InfoView or the Folder View.

 

My InfoView

• Using My InfoView will automatically open the correct folder and display all the Reports in the folder.
• This allows the user to open a report by double CLICKING ON the folder Name.

Folder View

• In Folder View, find the right folder by CLICKING ON the Document List (either the item with the Folder Icon or the Menu item above).
• That will open the Folder View Screen:
• Use the controls on the left of the report name to expand the folders from the left. CLICK ON the small + (plus) sign next to each folder in turn until all are expanded.
• To view a report, highlight the report you wish to view, then right CLICK, and choose View from the pop-up menu.

Prompts

• Based on the individual report you are about to view, the system will request that you enter information to further define the parameters of the Report. These are called Prompts.
• When the Prompt box displays you will see the message “Reply to Prompts before running the query.”
• Several reports prompt you for a begin and end date. If so, TYPE IN a Begin Date, either by typing it in the 8-digit date format, or by expanding the Calendar and picking the date from the Calendar.
• TYPE IN an End Date by first CLICKING on the text that reads “Enter Episode End Date”, and repeating the process of either typing in a date, or picking one from the calendar.
• Next,
  • CLICK ON Run Query.
• This will compile the report and open it.
• The report will open in Page Mode.
• To change to another Mode,
  • CLICK ON View Menu.
• There are 4 modes to choose from:
  • Quick Display Mode
  • Page Mode
  • Draft Mode
  • PDF Mode.
• Check all the modes to determine the one that will work for your purposes.
• Especially useful are the Draft Mode, which displays the entire report in a single long page, and the PDF Mode.
• The PDF Mode is a good choice for reports that will be printed.

 

 

Report Formats

• Business Objects reports can be viewed in multiple formats. The user may choose to view reports within the application itself, in an easily printable Adobe pdf format, as a Microsoft Excel spreadsheet, or in a raw data format: CVS (comma separated values).
• The CVS file can then be opened as a spreadsheet, allowing for analysis, sorting, and manipulation of the data.
• To return to the previous view,
  • CLICK the View in HTML format button.
• Another useful feature is the ability to save reports to your computer as downloads. We recommend using the CSV format as it contains all of the data that is in the report, without any additional formatting, breaks, pages, or blank values.

 

 

Saving Reports to Your Computer

• Attempting to save a file to your computer from Business Objects may provoke your network’s Security Settings to respond.
• If you see the following message:
  • “To help protect your security, Internet Explorer blocked this site from downloading files to your computer. CLICK HERE for options.”
• You can CLICK there, and allow files to be downloaded for the current session, but this will also close your report. You will then have to re-open your report, and re-select Save to My Computer as CSV.
• To permanently fix this problem, you will need to add the report server to your list of trusted sites. To do this, you will need access to your Internet Explorer menu. You must first close Business Objects, if it is open.
• Find your Tools menu, and CLICK on Internet Options.
• When it opens, go to the Security Tab.
• Next,
• CLICK ON the green checkmark√ labeled Trusted Sites, and CLICK the Sites button.
• This will open the Trusted Sites window, where you will want to type https://cmbhsrpt.dshs.state.tx.us in the “Add this website to the zone” field, and CLICK Add.
• Next,
• CLICK Close, then OK.
  • This will permanently allow the report server to save files to your computer without being blocked.
