What is a Location in CMBHS?
Just as a health professional must go to the client’s service location to document in a paper record, the CMBHS user must go to the client’s “virtual” service location to access a client’s CMBHS health record. This design feature is an important part of CMBHS’ system to protect the confidentiality of client health records by limiting access to those who provide services to the client.
A client may receive services at several locations within a provider business entity and the CMBHS user may have access to multiple service locations, so it is important that the user always check the top of the CMBHS page to confirm their location before attempting to find a client’s health record.
If you try to access a client record from the wrong location, you will encounter problems finding, viewing and/or saving information. This results in documentation delays and wasted staff time until the location problem is identified and resolved.
As they say in real estate, it’s all about “location, location, location!”
How Users are Assigned Locations
Either a Texas Department of State Health Services (DSHS) CMBHS Administrator or your Local CMBHS Administrator will set up an account for your organization including administrative offices and client service locations.
When your Local CMBHS Administrator sets up an account for a new CMBHS user, they document the service locations where the user is assigned to work and needs access to client health records.
One of the locations where the user works will be designated as that person’s Primary Location. That means, when the user Logs In, a workspace at their Primary Location will display.
Before You Start
- It is important that users check that they have been given access to all the locations they will need to carry out their job responsibilities. We recommend that users do this before they need to officially begin documenting in client records.
- Also check that the appropriate location has been designated as your Primary Location. If you provide services in more than one location, your Primary Location is the place where you provide services to the greatest number of clients or where you have your office.
Business Rules
- The user’s current location is displayed at the top of each page, beneath the Business Entity/Provider Name
- When a CMBHS user Logs in, they are automatically taken to their Primary Location.
- Users who are set up to have access to client records at more than one service location can only open to one location at a time.
How to Move to Another Location Assigned to You
- CLICK ON the Account Management tab on the Administrative toolbar at the top of the page.
- A menu of choices will appear.
- CLICK ON the first item, Change Location. The Change Location page, #SEC002, will display.
- In the Change Location information box, you will see your current location displayed on the first line.
- Beneath it is the New Location box.
- CLICK ON the blue arrow
of the New Location box and your new location choices will drop down.
- These are the location choices that were assigned to you when your CMBHS account was set up.
- Highlight and then CLICK ON your selection.
- Next, CLICK ON the Select button. It is towards the top right hand corner of the page.
- You will be returned to your workspace or home page and the new location will display at the top of the page.
