Clinical Management for Behavioral Health Services (CMBHS) gives providers the ability to print most of the documents within a client record. If a page from a CMBHS record can be printed, you will see a Print button near the top right side of your screen.
You must have Adobe Reader installed on your system to print from CMBHS. If you are uncertain whether you have Adobe Reader, see your local CMBHS Security Administrator or contact your IT Department.

The Provider Print Screen allows the HHSC providers to print multiple client record documents for a single client can be selected to print simultaneously . The feature can be accessed from the Client Services toolbar menu. However, the feature is not available for HHSC Program Locations (Program Locations under Department of State Health Services). Provider Print Screen will display only closed complete client records.
From Client Workspace
How to access Client Workspace: Use Find/Add in the Client Services toolbar to locate the client’s record in CMBHS and then select “Client Workspace”
When the assigned role is on “Client Workspace”, CMBHS application will display “Print Records” along with other values in the Services Toolbar menu.
Roles that can access the feature 'Print Records'.
Step 1: The user selects the “Print Records” link on the left menu. The system displays a list that has a Print, Search, and Cancel button
Step 2: Enter the purpose of printing, start date, and end date
Step 3: Click on the Search button and the records within the start and end date are displayed
Step 4: Select records to print by checking the checkbox(es) under the Select Records to Print section of the page
Step 5: click the Print button
Step 6: Open the record and select print
A Table grid is provided on ‘Provider Print Screen’ where all the results for the search made would be displayed.
Select Record to Print: Enter a check mark in the check box of the record needed to print.
a. Print single selected Record
b. Print multiple selected Records
Documenting and maintaining signatures is important in CMBHS. The Texas Health and Human Services Commission (HHSC), which develops CMBHS, sets rules about and governs the use of signatures in the application.

When a client signature is required on a CMBHS document, use the following process:
Maintain the paper document with the client’s signature in an appropriate manner consistent with applicable laws, regulations, policies, and contracts. Usually, placing the signed document in a file with the client’s name on it in a secure (locked) location is sufficient.
NOTE: By placing a Check in the Client Signed box, the CMBHS user is attesting that he/she has witnessed the document being signed by the client. |
NOTE: If any changes are made to the client-signed document, CMBHS users must obtain the client's signature again.
CMBHS also gives users the ability to attach and store signed paper documents that are digitally scanned. Note, however, that just because CMBHS provides this functionality, it does not mean your funders, regulators, or accreditors will accept a scanned document as a substitute for maintaining the paper document with the client’s signature in a file.
When someone other than the client is legally authorized or required by law to sign a CMBHS document, check the Legally Authorized Representative (LAR) checkbox by CLICKING inside it.
Then pick the LAR's name from the dropdown list, and complete the rest of
the document.
Place the document in Ready for Review status.
Print the document using the Print button and have the LAR sign the document after you provide him/her with the necessary explanatory information.
If the name of the LAR does not display in the dropdown list, then that person is not documented in the Client Profile as the Legally Authorized Representative. The LAR must be designated in the Client Profile as a LAR in order for his/her name to display in the dropdown list and be available for selection.
If the documentation in the Client Profile is not correct, go to the Client Profile and make the needed changes.
CAUTION: Always have copies of the relevant legal documents in hand and consult with others, as needed, before changing the LAR in the CMBHS system. The designation of LAR can have significant implications for the client, well beyond the signing of forms. |

CMBHS users can affix signatures to CMBHS documents that require user signatures by opening the document, clicking the Edit button, and then clicking Save.
The user’s name will display in the Last Saved By data field. This is the signature.
HHSC policy continues to require that any form requiring the signature of the client or another person be printed and kept in the client’s hard copy file.
In accordance with state law and the HHSC contract for substance use service providers, Qualified Credentialed Counselor (QCC) verification of Counselor Intern (CI) documentation is documented in CMBHS.
When documents requiring QCC verification (per Title 25 Texas Administrative Code, Chapter 140, Subchapter I) are created in CMBHS by a CI with the role of paraprofessional under QCC supervision, the documents can only be saved by the CI in Ready for Review status. Only the QCC/Paraprofessional Supervisor can close the document in Closed Complete.
The QCC must login to CMBHS, review the document, and Save it in Closed Complete status to document the required oversight process. Completing this process is considered a QCC signature. HHSC does not require that the document be printed and the paper form signed by the QCC to document the review.

Most pages of the client record in the Clinical Management for Behavioral Health Services (CMBHS) system allow users to attach (upload) a file to the client’s CMBHS record. The CMBHS user may scan documentation of financial or clinical eligibility, past service records, and other records (specific only to the client), and attach them to a related page in CMBHS.
Review the document/file to be attached and make sure that it is appropriate for attachment in the client’s CMBHS health record. If there are names of persons other than the client’s or other identifying information, check with your supervisor or legal advisor before making the attachment.
Your organization may develop a naming convention for the files you will be attaching to CMBHS. If your organization does not develop a naming convention for files, you can develop your own naming convention to help you recognize the files you have added to CMBHS. This can reduce the number of errors when attaching files to documents in CMBHS.
It is important that you know exactly where on your computer the files to be attached are located, so you can easily find them and reduce errors.
Always check to make sure you are open to the correct client record in CMBHS before you make an attachment.
The maximum size for a file you can attach to a page in CMBHS is ten (10) MB.
Only image files may be attached in CMBHS. The file must have an extension of .pdf (created by the Adobe software program), .bmp, .gif, .jpeg, .png, or .tiff.
If you attempt to attach a file type that is not allowed by CMBHS, an error message will display.
The CMBHS document must have been saved before the Attachment button will display at the upper right of your screen. The document may be in any status when using the Attachment function.
The Attachment button does not display while a document is in View or Edit mode.
After a file has been attached to a CMBHS page, it cannot be removed. If you encounter an emergency situation where there is a possibility that a client’s protected health information will be inappropriately disclosed because you attached a file to the wrong client’s record, notify your CMBHS Security Administrator and contact the HHSC CMBHS Help Line at 1-866-806-7806.
