CMBHS Intake – Admission
Use this page to document a client’s admission to your facility. The Admission function allows the user to document the client’s admission to a provider/business entity. Admission signifies the point at which the provider agrees to provide services
to the client based on available eligibility information.
Before You Start
- You must have a role that allows you to admit a client to your provider/business entity and service location. Click here for a list of Page Rights as they apply to Roles in CMBHS.
- The client must have a Profile in CMBHS prior to the user documenting a client admission in CMBHS.
- Most providers and payers require that a screening and/or assessment be completed prior to admitting a client, but this is not a CMBHS requirement.
- BE SURE YOU KNOW YOUR AGENCY POLICY AND/OR PAYER REQUIREMENTS BEFORE YOU DOCUMENT A CLIENT ADMISSION IN CMBHS.
Business Rules for Documenting an Admission in CMBHS
- In CMBHS, a client can only have one admission to a provider/business entity at a time, with one exception.
- If a provider delivers both substance use services and mental health services and the client will get both services, then the client must have two admissions to that provider — an admission to the provider’s substance use services and an admission
to the provider’s mental health services.
- A client can only be admitted more than once to a provider if he/she is admitted to two different categories of services — such as substance use disorder and mental health.
How to Access the Admission Page
- To document a client’s admission, you must be at the Client Workspace for the client you are admitting.
- On the Client Services Toolbar at the left side of the CMBHS screen, select Intake > Admission.
- The Admission page will display.
How to Document an Admission
- When the Admission page displays, you will notice that some of the fields are pre-filled.
- Review any of the pre-filled fields to ensure they are correct. Correct information that is not accurate.
- To make a change to any field, CLICK in the text box, highlight the information you want to change, and TYPE the new text. Or, CLICK the down arrow in a dropdown list and make a new selection.
Admission Information
The Admission Date and Admission Time are pre-filled with today’s date and the current time. You may change the admission date but it cannot be to a date prior to the creation of the Client Profile,
nor can it be a date in the future.
- TYPE eight numbers (mmddyyyy) in the text box and CMBHS will format the numbers into the date format (mm/dd/yyyy). Or, you may type the numbers with the forward slashes if you choose.
- You may change the admission time but it cannot be to a time prior to the creation of the Client Profile, nor can it be a time in the future. A time in the future is a time that is later than the current time.
- Place four numbers in the text box (hhmm) and CMBHS will format the numbers into the time format (hh:mm). Or, you may type the punctuation yourself.
- Contract Type is also pre-populated. This field displays the type of contract in effect between HHSC and the provider for the Location the user is logged into.
- The Contract Type field cannot be changed. If the information in this field is not correct, contact your Security Administrator, or call the HHSC CMBHS Help Line at (866) 806-7806.
- If you are performing an Assessment now, leave that field as None Selected. If the assessment will occur later, select that option from the dropdown list. Each CMBHS client admission must have attached an Assessment
in Closed Complete or Closed Incomplete status.
- In Admission and Diagnostic Justification, TYPE in the text box the client’s diagnosis and the reason for admission. Document the justification for the client’s admission and the diagnosis. This information should focus very specifically on why
this client with this diagnosis requires admission to this provider’s services at this time.
- Admission Performed By will default to your name. If you are entering a client's data but did not do the admission, select the name of the person who did the admission by using the dropdown list.
- Select the Admission Document Status from the dropdown list, and enter any further information about the client’s admission into the Comments text box.
- Click the Save button at the lower right of your screen.
