Mental Health First Aid Program

Statistics on attendance and usage of HHSC’s Mental Health First Aid (MHFA) program can be accessed in reports created in and generated by CMBHS. These reports provide statistics for to the Texas State Legislature and allows LMHAs and LBHAs (BMOs) to track their MHFA data in CMBHS.

Entering MHFA information

To enter data, users need to have the MH First Aid Statistic role in CMBHS to enter the data.  Please request this from your CMBHS Security Administrator.

Go to CMBHS Security Administrative Role for more information. 

CMBHS provides a place to enter new data about Mental Health First Aid services. To begin, navigate to the Business Office tab of the Administrative Toolbar and choose Mental Health First Aid Statistics.  Then follow these steps:

  1. Click on the New button.
  2. New data that can be entered in CMBHS for MHFA include:
    • School District
    • University/Higher Ed.
    • Educational Entity
    • Number of active trainers
    • Number of trainers who left the program
    • Date
    • Category of personnel

3. The buttons displayed are Save, and Edit Complete the Data entry fields listed below.  Once completed hit Save.  You can edit  data after saving.

When the created record is saved in the table grid on Mental Health First Aid Statistics page (MHF001).

For School Districts: System shows the cumulative sum of the educational entities numbers (School data) for same ISD. 

For University/Higher Ed. System displays the individual records created for the month.

4. To view the school data for particular ISD at the granular level, follow the following steps:

 

 Note: If the user wants to remove or delete the created ‘University/Higher Ed) data, the action can be completed on MHF001 screen. However, To complete the deletion for School data, The user has to navigate to MHF003 screen.

5. These are required fields.  The Number of active trainers, number of trainers who have left the program, School District or University/Higher Ed., and date.

6. Click the Add button, and a new data row appears.

7. To edit an existing record, select the record’s new row and click the Edit button.

8. Existing records can be searched by School District or University/Higher Ed, the Fiscal year radio button, or a date range in the Start date and End Date fields.

9. Click on the record in the list.

10. To remove a record, click the “Remove” button.  To make changes to a record click “Edit” and “Save” to complete the update.

 

Generating MHFA Reports

To generate an MHFA report, the user must have the MHFA Provider Report role in CMBHS. 

Go to CMBHS Security Administrative Role for more information.

  1. To navigate the CMBHS reports page, hover over Data on the top navigation bar and click on Reports.
  2. Scroll down and click on the CMBHS Mental Health First Aid Statistical Report.
  3. MHFA can be searched by:
    1. Org Nbr Internal
    2. Organization Nbr
    3. Start Date
    4. End Data
    5. By School District/University
  4. To search by School District/University:
    1. Click the School District/University dropdown box.
    2. Choose Select All.
    3. Click on the school or university to view data.
    4. Click Run
    5. To view data for a different School/University click Advanced.
    6. Select the School/University in the Prompts Summary.
    7. Click the < in the Refresh Values box.
    8. Click Ok.
    9. Select a different School/University to view in the Select School District/University dropdown box.
    10. Click Run.
  5. Choose from 2 report tabs:
    1. View by Categories of Personnel
    2. View by Trainers (Active and Trainers who left the MHFA Program).
  6. After the search criteria has been entered, click on the Run button to run the report.
  7. The user will view the sum of personnel by category for org number, date range or school/university chosen.
  8. The report also shows the Total Number of Attendees for each personnel category and the total number of attendees for the given search range.
  9. To view MHFA Trainers data, click on the Trainers tab next to the Categories of Personnel tab.
  10. This tab shows how many trainers remained how many trainers left in the current month.
  11. The Roll up table shows an average of trainers who are active and who have left the program for the current month.
  12. Export reports to PDF, Excel or CSV format by clicking the Export icon at the top of the page.
  13. Print the report by clicking on the printer icon at the top of the page.

 

Mental Health First Aid Training Statistics 

Mental Health First Aid Training Statistics is a screen that provides the ability for users to enter Mental Health First Aid training data in the CMBHS application for reports. This data is reported monthly by LMHA’s/LBHA’s.

Detailed Explanation of Functionality and data fields:

  1. Training Statistics List will be a first section on the Screen 'Mental Health First Aid Training Statistics’: This section can be used to search an existing training record in the table grid.
  1. On the ‘Mental Health First Aid Training Statistics’ screen, the system will display control buttons ‘New’ and ‘Close’.
  2. When the user selects the ‘New’ control button on ‘View ’then the system will open a ‘New Training Statistics Form’ screen. 
  3. When the user selects on 'Close' control feature at the right top of the page, then the system will exit the user from the page "Mental Health First Aid Training Statistics".  
  4. Business Rules of ‘New Training Statistics form’ Screen 

On New Training Statistics Form, the screen will display following fields:

  1. Report Date. Enter the date in the ‘Report Date’ field.
  2. Enter the numeric character data to the following training parameters

Audit Information

When LMHA/LBHA staff is on 'Mental Health First Aid Training Statistics' screen and the user selects one of the saved records and selects the 'View' control button, the system will display the 'Audit Information' section at the bottom of the page.
